OWACC - Exhibitor Contract

 

Location:               Owen-Withee High School Gym

 

Exhibit Hours:       Saturday, October 11, 2008 - 9:00 a.m. to 3:00 p.m.

                              All booths are to be staffed during these hours.

 

Set-Up Times:      Friday, October 10, 2008 – 7:00 p.m. to 9:00 p.m.

                             Saturday, October 11, 2008 - 7:00 a.m. to 8:30 a.m.

All exhibits are expected to be set up by 8:30 a.m. on Saturday.  Any booth vacant at 8:00 a.m. may be considered forfeited and the space reassigned by Expo staff.

                             Breakfast will be available for purchase beginning at 6:00 a.m. on Saturday morning.

 

Teardown:            No teardown is to begin before 3:00 p.m. on Saturday.

 

Logistics:              Booths are 10’W x 8’D and will include a backdrop, sides, and table. Electric will be available.

 

Cost:                     $100.00 for Chamber Members
                              $150.00 for Non-Members

 

Door Prizes:         The Chamber will have drawings for Chamber Bucks throughout the EXPO.  Each booth should

                              have a drawing for a modest prize.  Inexpensive promotional giveaways are also encouraged.

                              (Be sure they don't pose any safety issues).

 

Presentation:        It is expected that exhibits will be informational in nature.  Present your business and how it is an

                             asset to our community.  Finalize transactions at a later time and place.

 

Seminars:            During the Community Expo, the Chamber will host 45-minute seminars of interest to the

                             community.  If you would like to be a presenter, contact an Expo committee member or

                             Chamber director.

Policies for Exhibitors

1.  NO REFUNDS will be made for exhibitor cancellations.

2.  No merchandise, signs, decorations or display fixtures shall be attached to booth walls or ceilings, nor shall any such merchandise extend outside the booth space. 

3.  Exhibitor is liable for any damage it might cause to the building, the booth, or any other exhibitor.

4.  It is understood that drugs, alcoholic beverages, inhalants, mood-altering substances, tobacco products and gambling will not be permitted in the school facilities or on school district property at any time.

5.  Exhibitor should insure its exhibit and property against loss or damage. All property of an exhibitor is understood to remain in its care custody and control. Exhibitor agrees to maintain fire and extended coverage insurance on its booth contents.

6.  Exhibitor shall carry its own insurance. The Owen-Withee Board of Education and the Owen-Withee Area Chamber of Commerce assume no responsibility for the safety of the properties of the exhibitor, its officers, agents or employees, from theft, damage by fire, accident or any other cause whatsoever, and the exhibitor agrees to save and hold harmless the Owen-Withee Chamber of Commerce and the exhibition facility, and their respective agents from any and all liability resulting from injuries and damage to exhibitor, its agents, employees, and attendees and/or properties in connection with the exhibitor’s use of the exhibit space. Neither the Owen-Withee Area Chamber of Commerce, the Community Expo Committee, the City of Owen, the Village of Withee, the Owen-Withee School District or Board of Education, nor any of their respective members, agents, employees, or representatives will be responsible for any injury, loss or damage that may occur to the exhibitor, to the exhibitor’s employees or property from any cause whatsoever.

7.  The undersigned acknowledges that it has read and understands this agreement, and assumes all responsibilities for the proper use of the facilities provided; further the undersigned agrees that it will be responsible for payment if any damages occur from this use.

Keep a copy of this contract for your records.

Initial Confirmations will be mailed out once all documents and fees are received. Final details and instructions will be sent out in early September. Thanks again for your support.
